CALLIOPE protects assessment work, creative media, and learning evidence by design.

Last updated: 11 May 2026. This policy explains how CALLIOPE handles accounts, transcripts, uploads, AI-assisted assessment, analytics, and research consent.

1. Introduction

CALLIOPE is an AI-assisted oral assessment platform for learners, educators, and institutions. CALLIOPE helps users record audio, organize oral transcripts, request assessment, discuss feedback, and review conversational progress.

CALLIOPE operates as part of the LearnAdapt platform ecosystem. Product pages live at calliope.com, while authenticated runtime features, storage, AI usage controls, billing, analytics, and governance may be provided through the shared LearnAdapt backend.

We design our privacy practices to align with major data protection frameworks, including Singapore's Personal Data Protection Act 2012 (PDPA), the EU GDPR, UK GDPR and Data Protection Act 2018, applicable U.S. state privacy laws such as the CCPA/CPRA where they apply, and education privacy expectations for school or institutional deployments. This policy is not a substitute for pilot-specific agreements, data processing agreements, or legal advice.

Account and profile data

Username, email address, password hash, role, organization or class context where provided, and account settings.

Board and assessment content

Oral transcripts, uploaded audio, video, PDFs, prompts, comments, Voice Activity Detection metadata, and AI-generated assessment outputs.

Usage and technical data

Device, browser, IP address, session cookies, feature use, upload events, AI requests, credit usage, crash logs, audit logs, and security diagnostics.

2. Information we collect

Account and profile information

We collect information needed to create, authenticate, secure, and administer your account, including username, email address, password credentials, role, and optional profile or institution details.

Creative content and assessment work

We process content you upload, create, or receive in CALLIOPE, including oral transcripts, audio, video, notes, comments, AI prompts, AI outputs, project titles, feedback, and activity timelines.

Technical, usage, and telemetry data

We collect technical and usage information needed for authentication, storage, uploads, media delivery, AI processing, billing, analytics, safety, debugging, fraud prevention, and service improvement.

Communications and payment data

If you contact us, book a pilot, submit feedback, or purchase a plan, we process the information needed to respond, support the service, and administer billing. Full payment card details are handled by payment processors and are not stored by CALLIOPE.

3. How we use information

  • Operate transcripts, assessment workflows, uploads, media playback, AI assessment, collaboration, and export features.
  • Authenticate users, protect accounts, enforce roles, and prevent abuse.
  • Provide educator, reviewer, and institutional dashtranscripts.
  • Run AI features requested by users and return generated assessment, summaries, suggestions, images, or analysis.
  • Maintain credits, billing, service status, diagnostics, and security monitoring.
  • Produce aggregate, de-identified product analytics and pilot reports where permitted.
  • Support legal, safety, research-governance, audit, and compliance obligations.

4. AI processing and model training

When you use AI features, your prompts, uploaded rubrics, audio context, transcripts, or selected content may be sent to approved AI model providers or local model services solely to provide the requested feature, subject to applicable provider controls and data processing terms.

CALLIOPE does not use private transcripts, uploads, or user generations to train public foundation models by default. We do not publish your private content in galleries, marketing, examples, or case studies without explicit permission.

Free trials and pilot accounts may generate de-identified service analytics to improve reliability and usability, but research use of identifiable or linkable activity requires separate consent and an approved study context.

5. Ownership and intellectual property

You retain ownership of your original recordings, transcripts, prompts, assessment content, and other materials you upload or create. You grant CALLIOPE a limited license to host, process, display, transform, transmit, and store your content only as needed to provide the service, support collaboration, apply safety controls, and comply with law.

You are responsible for ensuring that you have the rights and permissions needed to upload or share content, especially client work, student work, copyrighted media, confidential projects, or third-party materials.

Students and young users

Users under 13, or younger where local law requires, must use CALLIOPE only through a parent, guardian, school, or authorized educator arrangement. School deployments should follow the institution's consent and student-data rules.

Research consent

Participation in research, publication, workshop analysis, or identifiable case-study use is optional and separate from normal service use. Study data is collected only when the required consent and study controls are active.

Sensitive projects

Avoid uploading secrets, regulated data, client-confidential files, health data, government identifiers, or identifiable student data unless your institution has approved that use and the plan supports it.

6. Sharing and third parties

We do not sell or rent personal data. We share information only as needed with service providers, AI providers, hosting and storage providers, email and support services, analytics or security tooling, payment processors, schools or institutions administering your account, professional advisers, regulators, law enforcement where legally required, or successor entities in a business transfer.

Third-party processors are expected to protect information under confidentiality, security, and data-processing obligations appropriate to the service they provide.

7. International transfers

CALLIOPE may process and store data in different countries depending on hosting, storage, AI provider, and support arrangements. Where Singapore PDPA, GDPR, UK GDPR, or other transfer rules apply, we use contractual, organizational, and technical safeguards intended to provide comparable protection for transferred personal data.

8. Retention and deletion

We retain personal data and creative content for as long as needed to provide the service, maintain transcripts and projects, meet legal or accounting obligations, resolve disputes, enforce terms, support security, or satisfy institutional agreements. You may request deletion, export, or correction of eligible data. Some records may remain in backups, audit logs, billing records, legal holds, or de-identified aggregate datasets for limited periods.

9. Cookies and tracking

We use cookies and similar technologies for authentication, sessions, security, preferences, performance, and service analytics. You can control many cookie settings through your browser, but disabling required cookies may prevent login or assessment features from working.

10. Security

We apply administrative, technical, and organizational safeguards such as encryption in transit, access controls, role-based permissions, audit logs, secure cloud infrastructure, backups, and incident review. No internet service can be guaranteed completely secure, so users should protect credentials and avoid uploading content they are not authorized to share.

11. Your rights

Depending on your jurisdiction, you may have rights to access, correct, delete, export, restrict, object to, or withdraw consent for certain processing of your personal data. California residents may have rights to know, delete, correct, opt out of sale or sharing, and limit certain uses of sensitive personal information where applicable. We do not sell personal data.

12. Updates

We may update this policy as CALLIOPE features, infrastructure, AI providers, legal requirements, or institutional arrangements change. Material changes will be posted on this page and, where appropriate, communicated by email or in-app notice.
